Google Drive Data Import (Moved)

The Google Drive Data Import guide has been designed to assist healthcare providers in importing EHR data into Google Workspace. Please note that there are  initial steps  needed to establish HIPAA compliance prior to moving PHI into your account.

Prep Your Drive for a Data Import

To prepare for the data import, we suggest doing the following steps in Google Drive:
Make sure your GW Account is HIPAA Compliant.
  •  How to sign the Google Workspace BAA  
  •  Info for Mac and Windows Users 
  •  Use Google Drive for desktop 
Create a folder called "Patient Charts"
Create a  Shared Drive  called "Archive"
In the Archive Shared Drive, create a new folder > name folder start and end year of your EHR subscription, folder name, e.g., 2017-2023 SimplePractice Backup.

  • If you did not complete the Google Drive steps listed earlier, please review them  here .
  • The data will look different for providers based on your private practice type (Solo vs. Group) and organizational structure (full-time, contracting, and non-clinical staff).
Storing Options
Sharing Information

For solo clinicians operating in private practice, we suggest utilizing Google Drive as a storage solution for patient files.


We recommend using Share Drive if you are a group practice. Shared Drive will give Group Practice Owners more control of their data. However, there still needs to be additional safeguards to protect your data and manage clinicians. We recommend a solution called  Patronum (Moved)  .

It is possible to create shortcuts to files and folders within Google Drive. This feature can be useful when sharing folders with internal clinicians. However, it is advisable to use this as a temporary solution rather than a primary one.
